Overview

An enrollment tracks one person’s progress through a sequence, including their sending mailbox, completed steps, upcoming work, and outcome. Use enrollments to follow up on individual people and resolve issues that prevent their next step. You can enroll people manually or automatically through a play. For agentic sequences, review and approve the generated recipient drafts in chat before their enrollments begin.

Add a person to a sequence

Publish the sequence and connect a sending mailbox before adding people. The sequence’s ruleset, applicable exclusions, and engagement policies determine who is eligible.

Open the person

Open a person’s record and click Add person to sequence in the action bar beside their details.

Choose the sequence and sender

Select the published sequence, then choose the mailbox or mailbox group that will send the emails.

Enroll the person

Click Add to sequence. Unify checks the person’s eligibility and starts the enrollment. Automatic emails follow the send schedule; manual steps create tasks for the assigned user.
If the person already has an active enrollment, the sequences’ simultaneous enrollment settings determine whether they can join another sequence. Re-enrollment settings govern returning after a previous enrollment ends.

Track progress

Open the sequence’s Enrollments tab to see each person’s status, mailbox, and current step. Filter by status or step to find people who need attention, or search for a specific person. Open their row to inspect the enrollment.

Enrollment statuses

In-progress enrollments appear as queued, started, blocked, or paused. Finished enrollments show their outcome, with an additional reason where applicable. An agentic enrollment awaiting approval has a Draft status. Review it in the chat enrollment queue described in Agentic sequences.

Pause a sequence

To hold outreach for everyone in a sequence, turn off the switch beside Edit and confirm Pause. To continue, turn the switch back on and confirm Unpause. Enrollments resume, with emails still subject to their send schedule and mailbox limits.

Remove people

Select the people in the enrollment table, choose Remove from sequence, and confirm the removal. Their enrollment history remains available. An enrollment that already completed a step can appear as Completed with a cancellation reason.

Update existing enrollments

Each enrollment uses a published sequence version. When you change a sequence, decide whether existing people should receive the updated steps as well as new enrollees. Select the relevant enrollments and choose Upgrade to latest version. Review the eligible count before confirming. An enrollment cannot be upgraded when the new version removes a completed step or inserts a step between steps it has already completed. Update agentic enrollments through chat. To change the sender before outreach begins, select the enrollments and choose Reassign mailbox. Reassignment applies to eligible enrollments that have not yet been emailed. Choose the replacement mailboxes and review the count; Unify distributes the eligible enrollments across them.

Resolve blocked enrollments

Filter the enrollment table to Blocked and open a person to inspect the email and its warning. Use the warning to identify what needs to change:
  • Missing or invalid variables: correct the highlighted personalization in the email. See handling missing data for ways to prevent the same issue in future enrollments.
  • A paused mailbox: resume it in mailbox settings.
  • An unauthorized mailbox: reconnect it from mailbox settings.
After the issue is resolved, Unify can reschedule the step. Check the enrollment again to confirm that it is ready to continue.

Enrollment problems

Open their existing enrollment and review the sequence rulesets. A person can have only one active enrollment in the same sequence. Simultaneous enrollment settings govern other active sequences; re-enrollment settings govern previous outreach and any waiting period.
Review the person’s exclusions and engagement explanation. Correct the underlying eligibility issue before trying again. Exclusions and policies can also stop outreach after enrollment.
Review their email preference data and consent before further outreach. Change the source data only if the status is incorrect.
Confirm that the sequence is published and choose a connected mailbox you can use. Reconnect an unauthorized mailbox from mailbox settings.
Wait for the earlier enrollment to finish stopping, then try again.
